
ADMINISTRATIVE ASSISTANT for Ministry and Outreach and Congregational Development Offices
provides office management and administrative support to the offices of Ministry and Outreach and Congregational Development.
Role: Hospitality
Develop and sustain a culture of hospitality and welcome for the Wisconsin Conference offices.
Serve as the initial point of contact for the Conference Center: telephone calls, emails, other correspondence and for individuals who provide services (deliveries, maintenance, cleaning and other service providers) and assure that connections, transfers and referrals are properly directed.
Maintain second floor common areas: kitchen area (refrigerator, coffee, supplies), rooms 204 and 205, personal office area, and second floor hall bulletin boards and tables so they are welcoming, current, and tidy.
Role: Registrar
Track and maintain registration systems for Annual Conference and other Conference-wide events.
Track event registrations, modifications, updates and cancellations for Conference-wide events (Annual Conference, School for Ministry, ICD, IDC, MCCI, etc).
Develop, customize, and distribute reports needed to track registrations.
Manage event registration finances: who has or has not paid, send reminders, follow through.
Provide additional support as needed to the event manager or leader of the events.
Role: Administration
Support the administrative needs for the Director of Ministry and Outreach and Director of Congregational Development and support the coordination of various Conference projects, programs and meetings.
Coordinate Conference Room reservation schedule and provide meeting support as requested (room set up, meals, hotel reservations, signage).
Prepare and submit expense vouchers: track expenses, receipts, and reimbursements for the Director of Ministry and Outreach, Director of Congregational Development and their related committees.
Role: Office and Staff Support
Collaborate and provide additional support to other Conference ministry areas.
Oversee and maintain confidential background checks for Volunteers in Mission and Camping summer staff.
Manage databases and IT information needed for the Ministry and Outreach and Congregational Development offices.
Assist in other areas of the Conference when needed and as possible.
Provide other support as requested by supervisor.
STATUS: This is an hourly wage, full-time, and non-exempt position with benefits. The normal work hours are 8:00-4:30, Monday – Friday. This position requires occasional evening and weekend work.
SUPERVISOR: Director of Connectional Ministry
EDUCATION: 2 year degree preferred
REQUIRED SKILLS:
Proficient in Microsoft Office Suite
Proficient in database management
Computer and web proficiency
Good organizational skills
People skills: comfortable and effective at communicating with diverse groups of people and maintaining confidentiality
Excellent written and verbal communication skills
Collaborative work style in a team environment

Ability to manage multiple projects and multi-task in the midst of interruptions
