Administrative Assistant - Central UMC Milwaukee

The Administrative Assistant position works for, and reports to, the Pastor and is part of the Hospitality and Administrative Ministry of Central United Methodist Church. This position ensures a high level of administrative efficiency for the church through the application of excellent office management, clerical, time management, and project management skills. Duties and Responsibilities:
The Administrative Assistant is expected to spend 12-16 hours each week and will keep track of their hours on a time sheet.
The duties listed below are not all inclusive. Other duties may be assigned as necessary.
  • Keep church office welcoming, organized, and presentable: sort and distribute mail, answer phones and email, greet visitors.
  • Maintain open communication with the Pastor regarding planning, coordination and execution of office procedures and special projects.
  • Facilitate communication between visitors, church leadership and Pastor. Serve as a point of triage/coordination as issues arise.
  • Create, in consultation with Pastor/church leadership, and print/distribute material including bulletins, reports, letters to members, e-mails, PowerPoint decks, etc.
  • Organize, inventory, and order office supplies.
  • Interface with community members who visit the church for programs, seeking assistance, looking for information, etc.
  • Maintain individual data of members, visitors, and prospects in Church Windows
  • Maintain accurate directory of membership and committees in Church Windows; including a continually-updated email distribution list for church members
  • Recruit, coordinate, and supervise office volunteers if/when needed.
  • Communicate and coordinate with staff, members, ministry teams, building partners and users. Triage requests/needs as appropriate.
  • Provide support for church committee leaders as needed including schedule and coordinate meetings, schedule/communicate with committee members and print agendas/minutes/other materials for committee folders.
  • Provide data entry to Church Windows – member donations, other income received, bills; work with treasurer to ensure bills are appropriately paid, assist in the preparation of basic financial reports (monthly, quarterly, and annual statements), and support other financial tasks at the direction of the church treasurer during weekly meeting.
  • Maintain copy equipment and printer.
  • Keep church calendar current and coordinate activities to prevent schedule conflicts.
  • Work with Pastor to coordinate special services (funerals, weddings, etc.).
  • Keep bulletin boards current and promotional material attractively displayed.
  • Oversee sanctuary paraments - ensure they are appropriately maintained and changed in accordance with the church calendar.
  • Security – maintain relationship with the building alarm company; manage alarm codes for authorized individuals; maintain a list of authorized users who have keys to the facility; ensure people have the appropriate access privileges for their role.
